Time Away From Work (CA)
Managers/Timekeepers are responsible for accurately reporting and approving leave time in Workday for all monthly-paid and weekly-paid staff.
602.1 Types of Paid Leave
Paid Time Off (PTO), Sick Leave, University Recognized Holidays, Bereavement, Jury Duty, Paid Parental Leave, and Military Leave with Pay.
In addition to the types of paid leave identified in the University of Pennsylvania Time Away from Work Policy (Policy Number 602), California staff members are entitled to the following types of paid leave:
Bone Marrow
Staff members who have worked for the University for at least 90 continuous days may take up to five (5) paid workdays in a one-year period for the purposes of bone marrow donation. A “one-year period” is 12 consecutive months from the date the staff member begins their leave.
Staff members are asked to provide reasonable advance notice of the need for leave, and the University may request documentation to confirm that the leave was used for donation purposes and the donation was medically necessary. A staff member returning from leave will generally be reinstated to his or her former position or a comparable position, as required by law.
Staff members must use available accrued Paid Time Off (PTO) and may use accrued paid sick leave concurrently with this time off. If a staff member does not have enough accrued Sick or PTO time to cover the leave period, the remaining days of leave will be paid by the University.
Use of this leave will not be counted against any available leave under the federal Family and Medical Leave Act (FMLA) or the California Family Rights Act (CFRA), if applicable.
Organ Donation Leave
Staff members who have worked for the University for at least 90 continuous days may take up to thirty (30) paid workdays in a one-year period for the purposes of organ donation and an additional 30 workdays off without pay. A “one-year period” is 12 consecutive months from the date the staff member begins their leave.
Staff members must use all available accrued Paid Time Off (PTO) and may use accrued paid sick leave concurrently with this time off. Any remaining days of paid leave will be paid by the University, up to 30 workdays.
Staff members are asked to provide reasonable advance notice of the need for leave, and the University may request documentation to confirm that the leave was used for donation purposes and the donation was medically necessary. A staff member returning from leave will generally be reinstated to his or her former position or a comparable position, as required by law.
Use of this leave will not be counted against any available leave under the federal Family and Medical Leave Act (FMLA) or the California Family Rights Act (CFRA), if applicable. Leave under this policy is not considered a break in service.
Voting Time
University staff members who are registered to vote and do not have sufficient time outside of working hours within which to vote in any statewide election, may take off up to two hours from work without loss of pay. Any additional time off may be without pay. Time off for voting should be taken only at the beginning or end of the staff member’s regular work shift, whichever allows the most free time for voting and the least time off from the regular work shift, unless the supervisor agrees otherwise.
Please provide at least two working days’ notice when time off is required. Staff members are reminded of the availability of voting by mail.
